Program summary

The Executive Operations Officer supports the firm’s operational readiness, workplace technology, vendor relationships, and day-to-day administrative needs. This role coordinates business continuity and emergency preparedness activities, serves as a key liaison for technology and cybersecurity support, maintains accurate operational records and inventories, and provides responsive administrative assistance to staff. The successful candidate will be organized, service-oriented, discreet, and comfortable managing multiple priorities in a fast-paced professional environment.

Key ResponsibilitiesBusiness Continuity and Emergency PreparednessMaintain and periodically update the firm’s business continuity, emergency preparedness, and workplace response plans.Coordinate emergency procedures for events such as building evacuations, shelter-in-place situations, severe weather, technology disruptions, and other operational incidents.Maintain emergency contact lists, response protocols, staff instructions, and related records.Support emergency drills and preparedness training, document lessons learned, and track follow-up actions.Coordinate timely emergency communications to employees in partnership with firm leadership, building management, and external service providers.Help ensure essential business functions can continue or resume promptly following an interruption.Vendor and Subscription ManagementServe as an operational point of contact for assigned vendors and service providers.Maintain vendor agreements, contacts, renewal dates, service records, and subscription inventories.Monitor service performance, coordinate issue resolution, and escalate recurring or time-sensitive concerns.Review invoices and subscription activity for accuracy, duplication, utilization, and upcoming renewals; route items for approval in accordance with firm procedures.Support vendor onboarding, access coordination, and offboarding while maintaining appropriate documentation.Information Technology and Cybersecurity CoordinationMonitor the responsiveness and quality of the firm’s outsourced IT vendor support and follow open requests through resolution.Coordinate employee technology setup, access changes, equipment deployment, troubleshooting, and offboarding with the IT vendor and internal stakeholders.Support implementation of cybersecurity policies, awareness initiatives, required training, incident reporting, and remediation activities.Escalate suspected cybersecurity events, technology outages, and access concerns promptly in accordance with established protocols.Maintain accurate inventories of computers, mobile devices, peripherals, software licenses, and other technology assets, including assignment and lifecycle status.Assist with technology planning, replacement schedules, and documentation of systems and standard operating procedures.Administrative and Day-to-Day Operational SupportProvide professional, timely administrative support to firm staff and leadership to help maintain efficient daily operations.Assist with meeting and event logistics, scheduling, document preparation, data entry, records management, supply coordination, and other administrative needs.Coordinate with building management and vendors regarding office access, facilities requests, maintenance, and workplace services.Maintain organized operational files, trackers, procedures, and shared resources.Respond to staff questions, identify appropriate resources, and follow requests through completion.Support special projects and perform other duties consistent with the position as assigned.QualificationsBachelor’s degree in business administration, operations, emergency management, information systems, or a related field preferred; equivalent relevant experience will be considered.Three or more years of progressively responsible experience in office operations, executive or administrative support, vendor management, business continuity, or a related area preferred.Experience coordinating with outsourced IT providers and supporting workplace technology operations strongly preferred.Working knowledge of business continuity, emergency preparedness, cybersecurity awareness, asset management, and vendor administration practices.Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.Excellent written and verbal communication, organization, judgment, attention to detail, and follow-through.Ability to manage competing priorities, protect confidential information, work independently, and collaborate effectively across all levels of the firm.Ability to work on-site in Washington, D.C., during the firm’s regular business hours and respond appropriately to urgent operational situations.Core CompetenciesOperational judgment and accountabilityEmergency readiness and calm decision-makingService orientation and responsivenessTechnology and cybersecurity awarenessVendor relationship managementOrganization, accuracy, and documentationDiscretion, professionalism, and collaborationHow to ApplyPlease email your CV to employment@lewis-burke.com and use Executive Operations Officer as the subject line.
