Overview of DPW Operations: The DPW plans, builds, operates, and maintains facilities and equipment throughout the county. Across five divisions, the department is responsible for the use and protection of natural resources, planning and maintenance of streets and roadways, the operation of two regional airports, and for 70 county facilities. The Office Assistant is responsible for fielding public and internal inquiries throughout the divisions, coordinating schedules, and providing customer service to San Mateo County residents and employees. This is an excellent role for someone who thrives in a collaborative environment, enjoys variety, and wants to make an impact in the local community.
Position: Office Assistant Examples of Duties: -Assist customers with basic requests for information and coordinates with responsible offices to provide information about County activities/functions - Coordinate meeting schedules, disseminate minutes, and maintain records, forms, and specialized documents - Prepare and update a variety of reports and records which may require the use of arithmetic calculations and consolidating materials from several sources - Contribute to intra-departmental communications including newsletters and memoranda - Perform basic office support duties such as collating materials, preparing/distributing mail, completing forms, proofreading materials, typing correspondence reports, etc. Training Outcomes: - Develop skills to establish and maintain partnerships with community and govt agencies - Learn employee engagement and team collaboration strategies - Achieve accuracy in maintaining records and databases, ensuring comprehensive service - Learn the structure and operation of county government Qualifications/Ability to: - Perform detailed office support work accurately to include basic record keeping, business arithmetic, data processing, and business letter writing - Develop rapport and maintain effective working relationships with community members, staff, and external contacts at all levels with diverse backgrounds - Work independently and exercise sound judgement - Communicate clearly and concisely, both orally and in writing - Readiness to learn and utilize computer software (e.g., Microsoft Office: Word, Outlook, Excel, PowerPoint) and job specific applications/systems
